Managing Your Inbox & Alerts

Stay on top of overdue bookings, return issues, payments, and maintenance alerts.

The Inbox is Lockii's proactive alerting system. Instead of checking every booking manually, Lockii monitors your fleet and surfaces things that need attention. Overdue hires, return issues, failed payments, booking change requests, AI support escalations, maintenance due dates, team comment mentions, and more.

What you'll see in the Inbox

Lockii creates notifications for events like:

  • Overdue bookings — hire period has ended but the item isn't returned

  • Return issues — customer reported a problem during return

  • Pickup issues — customer had trouble at pickup

  • Booking change requests — customer requested a change that needs your approval

  • Booking changes applied — a customer change was applied automatically under your policies

  • Payment events — payment requests paid or outstanding

  • Extensions — customer extended their booking

  • Support escalations — the AI support assistant handed a conversation to your team

  • Support chat completed — an AI support conversation finished (resolved, escalated, or abandoned)

  • Maintenance due — scheduled service is coming up

  • Unknown pickup — GPS detected movement without a confirmed pickup

  • Late or forgotten returns — item hasn't been returned on time

  • Comment mentions — a teammate @mentioned you on a booking or customer

  • Comment thread replies — someone replied in a comment thread you joined

Comment notifications include a preview of the message and the booking or customer reference, so you can decide whether to open it at a glance.


Location-scoped Inbox

If a team member only has access to specific locations, their Inbox shows alerts for those locations plus company-wide alerts. Lockii filters automatically based on each person's permissions.

  • Location-specific alerts (for example overdue bookings, return issues, or marketplace imports) only appear for locations that person can access.

  • Company-wide alerts (for example some payment or organisation events) still appear for everyone who has permission to receive that notification type.

Managers with access to all locations see the full Inbox. Frontline staff at one depot only see what matters to their site.

Quick guide

Review notifications

  1. Open Inbox from the sidebar.

  2. Unread items appear highlighted. Click any notification to open the related record in the right panel.

  3. Right-click (or long-press on mobile) to Mark as read or Mark as unread.

Act on a notification

  1. Click a notification. Lockii opens the relevant booking, customer, product, stock unit, return review, change request, or support chat in the split panel.

  2. Take action directly (for example contact the customer, approve a booking change, mark as returned, review return photos, reply to a comment, or follow up on a support chat).

  3. The notification is marked read once you've opened it.

Approve booking change requests

When a customer submits a change that needs approval, open the Booking Change Request notification to review what changed. Approve or reject from the inbox panel, or open the full change request view. See Managing Booking Change Requests.

Handle support chat notifications

If you use the AI support chat on your booking pages, Lockii sends inbox alerts when:

  • A conversation is escalated to your team (with the reason and a short summary)

  • A conversation is completed (resolved by the assistant, escalated, or abandoned)

Open the notification to read the full transcript, update the conversation status, or copy a shareable support chat link for a teammate.

On mobile, open support chats from the Inbox tab and use the same status controls from the conversation detail screen.

Comment notifications

When you open a comment mention or thread reply, Lockii takes you straight to the activity timeline so you can read the note and reply without hunting for it.

  • Booking comments — opens the booking in the inbox panel with the activity sidebar visible.

  • Customer comments — opens the customer profile with the activity sidebar visible.

Reply from the comment box in the sidebar. Type @ to pull in another teammate if needed.

Configure which alerts you receive

  1. Click the settings icon in the Inbox header.

  2. Toggle notification types on or off based on your workflow.

  3. Your preferences are saved per user.

You can turn Comment Mention, Comment Thread Reply, Support Escalation, and Support Chat Completed on or off independently for push and email delivery.

Lockii only shows notification types your role is allowed to receive. If a toggle is missing, your role does not include permission for that alert type.

Mark all as read

  1. Use the Mark all read action in the header to clear the unread count.

  2. Notifications remain in the list for reference.


Tips

  • Treat the Inbox like your morning checklist. Most operators can run contactless fleets by checking here once or twice a day.

  • Return and pickup issue notifications link directly to the customer's submitted photos and answers.

  • Pair the Inbox with Automated Customer Communications so customers are reminded before you need to intervene.

  • Use @ mentions in team comments to pull a specific teammate into a booking without a separate message.

  • Give location-limited staff booking read access for the sites they work at so their Inbox stays focused on local hires.
