Several settings tabs now open items in their own editor page instead of inline modals:
Locations — click a location or Add Location to open the map-based editor
Pricing templates, coupons, and services — click any item in Pricing Details to open its editor
This keeps long forms (like location maps and coupon rules) easier to work with.
Under Settings → Company Details, the Business address field is used for invoices, customer communications, and email footers.
When you enter an address, Lockii includes it in the footer of customer-facing booking emails, identity verification emails, and licence upload requests. Customers see your company name plus your address instead of a generic platform location.
Leave the field blank if you do not want an address line in email footers. Your company name still appears.
See Automated Customer Communications for how footers appear in lifecycle messages.
Lockii picks distance and speed units automatically from your company profile. There is no separate units setting.
Imperial (miles, feet, mph) when your currency is USD or your Default phone country is United States (US).
Metric (kilometers, meters, km/h) for all other setups.
These units appear on stock maps, GPS return status on bookings, checkout location distances, location zone labels on the map editor, and tracker speed readouts in the web and mobile apps.
Set Default phone country under Company Details so checkout forms and unit labels match your market.
Under Settings → Booking Policies → Stock assignment, choose when Lockii pins a specific stock unit to a booking:
At Pickup (default for new accounts) — bookings hold pooled capacity until pickup. Lockii assigns the best available unit automatically when the hire starts.
At Reservation (Legacy) — Lockii assigns a unit as soon as the booking is confirmed.
See Stock Assignment: At Pickup Mode for the full workflow.
Under Settings → Booking Policies, set Maximum booking length to cap how long a single hire can run.
Leave the field empty for no limit.
Enter a value in hours (15-minute increments). For example 4 limits hires to four hours.
Lockii enforces this limit at online checkout, in the booking editor, and when customers extend or reschedule. Customers see a clear message when their selected dates exceed the limit.
Use this when your pricing model or turnaround time only supports short hires (for example half-day trailers or hourly equipment).
Under Settings → Booking Policies → Late Charges, turn on automatic extensions for overdue hires.
When a booking passes its return time and the customer has not returned the item, Lockii can:
Wait for your overdue buffer (default 30 minutes) after the current end time
Extend the booking by your extension length (default 2 hours)
Charge the customer's saved card for the extra hire time, or add the amount to the unpaid balance if the charge fails
Send your automated order auto extended communication when the extension succeeds
Lockii keeps extending in blocks until the customer returns or a charge conflict blocks the booking. You can also extend an overdue booking manually from the booking editor.
Late charges run automatically in the background. You do not need staff on the phone to collect overdue fees.
Under Settings → Contracts, configure what customers see and how they accept your rental agreement at checkout and before pickup.
Choose how customers confirm your terms:
Checkbox (default) — customers tick a box next to your short terms summary at checkout. Lower friction for online conversion.
Signature — customers open your full rental agreement, then type their name or draw a signature before they can pay. Lockii stores the signature on the booking and includes it in the terms proof PDF.
Signature gives you a stronger audit trail for high-value hires or markets that expect a signed contract. It adds an extra step at checkout, so most operators keep Checkbox unless their insurer or legal team requires a signature.
The Short description field is the one-line summary customers see next to the acceptance control at checkout (for example "I agree to the rental terms and conditions").
The Policies section holds your legal documents:
Terms and conditions — full rental agreement shown when customers expand terms at checkout and on the confirmation page
Privacy policy — shown at checkout, on account pages, and appended to the terms agreement. Lockii ships a default template you can edit or reset at any time.
Cancellation policy, legal notice, and other storefront policies as needed
The default privacy policy template includes a Mobile information and text messaging section. It states that mobile numbers and SMS consent are not shared with third parties for marketing, and that SMS providers only use data to deliver messages customers have requested (such as sign-in codes and booking notifications).
Lockii records a terms agreement on each booking after the customer accepts at checkout or on their confirmation page. Staff can open a terms proof PDF from the booking timeline. When you use Signature, the PDF shows the customer's typed or drawn signature.
If you change the customer on a booking after terms were agreed, Lockii clears that agreement. The new customer must accept again before pickup unlocks.
See Customer Online Checkout and Customer Pickup & Lock Codes.
Under Settings → Website & Embeds, you can embed the customer account experience on your site:
<lockii-account> — inline account page where customers sign in and see their bookings
<lockii-account-button> — button that opens the account in a popup. Add label="My bookings" to customize the text.
See Customer Accounts for the full customer flow.
If you're setting up a new account, work through these tabs in order:
Company Details — name, logo, tax, default phone country
Integrations — connect Stripe
Locations — add hire sites, operating hours, and blackout dates
Pricing Details — set rates
Contracts — terms, privacy policy, and acceptance method
Locks — connect iglooHome
Website & Embeds — add to your site
Communications — customise messages
Booking Flow — pickup and return setup
Booking Policies — stock assignment, max booking length, late charges, and booking padding
See Getting Started With Self Hire for the full walkthrough.
Use Global Search (⌘K) to jump directly to any settings tab.
Most settings tabs have their own dedicated help article. Check the Back Office and Integrations sections.
Add your Tax ID under Company Details if you need it printed on customer invoices.
Set Default phone country under Company Details so checkout and customer forms pre-select the right country code. For US operators, this also switches distance labels to miles and mph across the app.
Add your Business address so customer emails and invoices show where your company is based.
Start and end of booking padding under Booking Policies accept 15-minute increments (for example 0.25 = 15 minutes, 0.5 = 30 minutes). Lockii snaps values to the nearest 15 minutes automatically. Returned bookings free up stock sooner because padding stops at the actual return time.
Turn on Late Charges if you want overdue hires to extend and bill automatically without staff chasing customers.
Use Signature under Contracts only when you need a signed agreement on file. Checkbox keeps checkout fast for self-serve hires.
